Who we are

Rakete Technologies OÜ
Registry code 17223098, VAT number EE102851830
E-mail: info@terake.com

Terake is used by companies (our customers) to record and plan their employees’ work. For the data a customer company enters into Terake about its employees and its work, the customer company is the data controller and Rakete Technologies OÜ is its data processor, acting on the customer’s instructions under the contract between us. For our own customer relations, the user accounts and sign-in, the website and our marketing, Rakete Technologies OÜ is the data controller.

2. What data we process

Account data: name, username, e-mail address, phone number, password, language, role and rights, and the company and department the user belongs to. If the customer uses it: personal identification code, employee number in its other systems, hourly rate, access PIN or card for factory terminals.

Work data: work records (start and end time, work type, work object or field, machine, materials, notes, photos), tasks, rosters, absences, signed documents and the change history of these records.

Location data: the location of the mobile device while a work session is running (see section 4), and locations and other telemetry of machines received from the customer’s vehicle tracking providers.

Device and technical data: device model and operating system version, app version, device identifier, push notification token, IP address, browser type, sign-in events, and error reports.

Data from sign-in providers: see section 5.

AI assistant conversations: the questions asked from the Terake AI assistant in the web application and its answers (see section 6).

Contact data that you send us through the website or by e-mail.

3. Why we process data and on what legal basis

To provide Terake to the customer company and its users: recording and planning work, calculating working time, reports, maintenance and field records (on behalf of the customer; for us, performance of the contract).

To create and protect user accounts, let users sign in, prevent misuse and keep the service secure (legitimate interest in a secure service; performance of the contract).

To find and fix errors and develop the service (legitimate interest).

To answer questions and provide support (legitimate interest; performance of the contract).

To send customers news about updates, campaigns and events (consent or legitimate interest towards existing customers; you can unsubscribe at any time).

To comply with legal obligations, for example accounting rules and requests from authorities (legal obligation).

We do not sell personal data, and we do not use it for advertising profiles.

4. Mobile app permissions and location

Location, also in the background: the Terake app uses the device’s location only while the user has a work session running, from starting the work until stopping it. It is used to record where the work was done, to verify the work and to show the customer’s managers where work is in progress. On iOS the app keeps receiving location while a work session is running even when the app is closed or the screen is off, and iOS shows the location indicator during that time. On Android the location is taken when the work starts and stops and at intervals while it runs. When no work session is running, the app does not collect location. The interval is set by the customer company.

Camera and photos: only when the user chooses to add a photo to a work record or a fault report.

NFC: to sign in or record work by tapping a card or tag.

Phone: to call a phone number shown in the app when the user taps it.

Motion (iOS): to improve location tracking during a work session.

Permissions can be withdrawn at any time in the device settings; some functions then stop working.

5. Signing in with Google, Microsoft or Apple

Where Terake offers sign-in with a Google, Microsoft or Apple account, we receive from that provider your name, e-mail address, whether the e-mail address is verified, and the provider’s unique identifier for your account. We use this data only to find your existing Terake user account by its e-mail address and to sign you in. We store only the provider’s account identifier with your Terake user account; we do not receive your password, and we do not request access to your e-mail, files, contacts or other data in that account. A sign-in with an e-mail address that has no Terake account is refused, and that attempt is logged for security. If you use Apple’s “Hide My Email”, Apple gives us a relay address instead of your real one, and sign-in works only if that address is linked to your Terake account. You can remove the link by contacting your Terake administrator or info@terake.com, or in your Google, Microsoft or Apple account settings.

Terake’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Data received from Google, Microsoft or Apple is not transferred to others, not used for advertising and not used to train AI models.

6. AI assistants and connectors

Terake can be used together with AI assistants. In each case the assistant works with the rights of the user’s own Terake account: it sees only the data that account may see, and it cannot change data.

Terake AI assistant in the web application. Users to whom the assistant has been made available can ask questions about Terake data in the web application. The question, the Terake data needed to answer it and the answer are sent to Anthropic PBC, the provider of the Claude AI models, for processing. The conversations are stored in Terake for a limited time and then deleted.

Connectors for Claude, ChatGPT and other AI assistants (MCP). A user can connect their own AI assistant to Terake through the Terake MCP server (mcp.terake.com). The user signs in on Terake’s own sign-in page, and the assistant does not receive the user’s Terake password. The MCP server passes each request to Terake and returns the answer to the assistant without storing it, and Rakete Technologies OÜ does not receive or store the user’s conversations with the assistant. The data the assistant receives becomes part of the user’s conversation and is processed by the assistant’s provider (for example Anthropic or OpenAI) under the terms between the user and that provider. The user can end the access at any time by disconnecting the connector in the assistant’s settings.

7. Who receives data

Within the customer company, data is visible to users according to the rights the customer has given them. We use service providers for hosting, backups, e-mail, error monitoring, maps, sign-in, notifications, usage statistics and AI processing. They process data only on our instructions and are required to protect it at least as well as this policy does.

On the customer’s instruction, data is also exchanged with systems the customer connects to Terake, for example vehicle tracking and fuel card providers, accounting software and Estonian state registers (such as PRIA and the Tax and Customs Board). We disclose data to authorities only where the law requires it.

8. How long we keep data

We keep personal data only as long as it is needed for the purposes described in this policy or required by law. Account and work data are kept as long as the customer company uses Terake and keeps them. Deleted data is kept for a limited time so that a deletion can be undone, and is then permanently deleted. Logs, AI assistant conversations and backup copies are kept for a limited time and then deleted; backup copies are used only to restore the service after a failure.

9. Deleting your account and data

User accounts in Terake are created and managed by the customer company. To have your account or your data deleted, ask your company’s Terake administrator, who can delete it in Terake, or write to info@terake.com from the e-mail address of your account. We will confirm the request and, together with your employer where the data belongs to it, delete or anonymise the data, except data that must be kept by law (for example working-time and accounting records). A company administrator can delete the whole company account in Terake’s company settings.

10. Your rights

You have the right to request access to your personal data, correction of incorrect data, deletion, restriction of processing and a copy of your data in a machine-readable form, to object to processing based on legitimate interest, and to withdraw a consent you have given. For data that your employer has entered into Terake, contact your employer first; we help them answer. You can also contact us at info@terake.com. You have the right to file a complaint with the Estonian Data Protection Inspectorate (Andmekaitse Inspektsioon, www.aki.ee) or the supervisory authority of your country.

11. Cookies and similar technologies

The Terake sign-in page uses a session cookie that keeps you signed in and protects the sign-in form. The web application stores your sign-in tokens in the browser’s session storage and your language choice in a cookie, and uses usage statistics and map services, which can set their own cookies. The website terake.com asks for consent before setting cookies that are not needed for it to work.

12. Security and confidentiality

Rakete Technologies OÜ takes administrative, technical and physical measures to protect personal data: data is transferred over encrypted connections, access is limited to authorised persons, and users see only the data their rights allow. All information that the customer enters into the information system is confidential. Information is not treated as confidential if it is publicly available.

13. Children

Terake is a work tool for companies and is not intended for children under 16. We do not knowingly collect data from children.

14. Changes to this policy

We may update this privacy policy. The current version is always published on this page, with the date of the last update.
